Job Title: Orders Manager

Primary responsibilities:

  • Responsible for the management of (re)orders from start to finish (from briefing to production and delivery)
  • Ensuring the smooth processing of product orders / production / deliveries and coordination with relevant departments and colleagues
  • Managing client relationships and keeping clients up-to-date at all times
  • Developing timelines and milestones for new and ongoing orders in our project management software (ProWorkFlow)
  • Having a full understanding and overview of the stock of products available using our ERP system Visma
  • Having a full overview of production planning and timelines for each product
  • Preparing forecasts of production based on order forecasts
  • Setting up calculations, quotes, order confirmations, purchase orders, production orders, and maintaining related administration
  • Monitoring prices and budgets
  • Coordinating with the logistics team members of shipment timelines and delivery status
  • Managing invoicing to customers and suppliers in collaboration with the finance department; providing feedback to the finance department and approving assigned expenses
  • Making overviews and keeping the administration updated at all times
  • Providing regular status reports to the Head of Operations
  • Keeping professional knowledge up to date by visiting suppliers for (new) production techniques, materials, etc., or attending trade shows related to POS, displays and in-store production developments

Education and required competencies:

  • Completed HBO/University degree (specialization in Planning and Project Management is a plus)
  • Knowledge of the POS/Display sector, Retail experience is a must
  • At least 5 years of work experience as a Project Manager, Production Manager, Orders Manager in a similar sector
  • Ownership and organisation are part of your DNA
  • Strong communication skills at a professional and commercial level
  • Proactive, decisive, solution-oriented, willing to roll up your sleeves
  • Ability to work in a structured, precise, and administrative manner, with a technical affinity
  • Knowledge of engineering and technical product development are a plus
  • Ability to work independently and in a team
  • Flexible approach to change, resilient, goal-oriented, and driven
  • Excellent knowledge of MS Office (PowerPoint, Word, Excel)
  • Experience with Project Management, ERP and CRM softwares is a plus
  • Available at least 32 hours per week and mostly from the office
  • Driver’s license (office is located in Baarn and no easily reachable by public transport)
